PTO Elections

The PTO holds elections each year for five board Officers. The Board then appoints the Committee Chairs for the Standing Committees.

PTO Board Officers

PRESIDENT

The President presides over meetings, serves as the primary contact for the school principal, represents the organization at meetings outside of the PTO, serves as an ex-officio member of all committees except the Nominating Committee, and coordinates the work of all the officers and committees so that the purpose of the organization is served.

VICE PRESIDENT - PROGRAMS

The VP Programs shall assist the President and carry out the President’s duties in his or her absence. The VP Programs oversees individual committees that run each of the major programs such as the Winter Fayre, Summer Fayre, International Day, and others.

VICE PRESIDENT - NEIGHBORHOOD REPRESENTATIVES

The VP - Neighborhood Reps shall be the main point of contact for the Neighborhood Representatives from each year. This VP will help to standardize Neighborhood Rep roles and responsibilities. This VP also has a key link to Future Fund.

SECRETARY

The Secretary shall keep all records of the organization, take and record minutes, prepare the agenda, handle correspondence, and send notices of meetings to the members. The Secretary also keeps a copy of the minutes book, bylaws, rules, and any other necessary documents, and brings them to the meetings.

TREASURER

The Treasurer shall receive all funds from the organization, keep an accurate record of receipts and expenditures, and pay out funds in accordance with with approval of the Executive Board. The Treasurer will present a financial statement at every meeting and at other times of the year when requested by the Executive Board, and make a full report at the end of the year. With the help of the PTOToday financial software, the Treasurer will prepare the tax forms.

PARLIAMENTARIAN

The Parliamentarian maintains oversight of the governing structure and ensures that meetings are run according to the bylaws. The Parliamentarian sits on the Board but does not have voting rights.

PTO Standing Committees

USED UNIFORM SHOP CHAIR

The Used Uniform Chair shall oversee the collection and sorting of used uniforms. The Chair will oversee the running of the Used Uniform shop including the setting of opening hours and prices.

FUNDRAISING COMMITTEE CHAIR

The Fundraising Chair will propose, oversee, and implement a plan for fundraising activities such as Spirit Nights, concession sales, and other events that raise monies for the general PTO funds.

HOSPITALITY COMMITTEE CHAIR

The Hospitality Chair will propose, oversee, and implement a program of events for welcoming and connecting with families and coordinating staff appreciation events.

VOLUNTEERS COMMITTEE CHAIR

The Volunteers Committee Chair will recruit and organize volunteers for events. This includes collaboration with other committees for events as well as communicating with volunteers.

COMMUNICATIONS COMMITTEE CHAIR

The Communications Committee Chair will oversee the website, provide the PTO Newsletter submission to the school, and provide additional comms for events as needed.

PROGRAM CHAIRS

Ideally, each major event run at the school would have its own Chair. These events currently include: Winter Fayre, International Day, and Summer Fayre.
