PTO Elections

The PTO holds elections each year for five board Officers. The Board then appoints the Committee Chairs for the Standing Committees.

PTO Board Officers

Each PTO Board Officer has a delegate that works closely with them.

PRESIDENT

The President presides over meetings, serves as the primary contact for the school principal, represents the organization at meetings outside of the PTO, serves as an ex-officio member of all committees except the Nominating Committee, and coordinates the work of all the officers and committees so that the purpose of the organization is served.

VICE PRESIDENT - PROGRAMS

The VP Programs assists the President and carries out the President’s duties in his or her absence. The VP Programs oversees individual committees that run each of the major programs such as the Winter Fayre, Spring Fayre, International Day, and others.

VICE PRESIDENT - NEIGHBORHOOD PARENTS

The VP - Neighborhood Parents is the main point of contact for the Neighborhood Parents from each year. This VP will help to standardize Neighborhood Parent roles and responsibilities and runs short meetings to update and support the Parents. This VP also has a key link to Future Fund.

SECRETARY

The Secretary keeps all records of the organization, takes and records minutes, prepares the agenda, handles correspondence, and sends notices of meetings to the members. The Secretary also keeps a copy of the minutes book, bylaws, rules, and any other necessary documents, and brings them to the meetings.

TREASURER

The Treasurer receives all funds from the organization, keeps an accurate record of receipts and expenditures, and pays out funds in accordance with the approval of the Executive Board.

The Treasurer will present a financial statement at every monthly meeting and at other times of the year when requested by the Executive Board, and make a full report at the end of the year.

With the help of the PTOToday financial software, the Treasurer will prepare the tax forms.

The Treasurer works with their delegate to put through Amazon orders, reimbursements and other payments.

PARLIAMENTARIAN

The Parliamentarian maintains oversight of the governing structure and ensures that meetings are run according to the bylaws. The Parliamentarian sits on the Board but does not have voting rights.

PTO Standing Committees

Each PTO Committee Chair has a delegate that works closely with them.

USED UNIFORM SHOP CHAIR

The Used Uniform Chair oversees the running of the Used Uniform shop including the setting of opening hours and prices.

The team will oversee the collection and sorting of used uniforms.

FUNDRAISING COMMITTEE CHAIR

The Fundraising Chair will propose, oversee, and implement a plan for fundraising activities such as Spirit Nights and other events. Creation/ donation of raffle baskets. Monitor passive fundraising streams.

HOSPITALITY COMMITTEE CHAIR

The Hospitality Chair will propose, oversee, and implement a program of events for welcoming and connecting with families and coordinating staff appreciation events.

VOLUNTEERS COMMITTEE CHAIR

The Volunteers Committee Chair will recruit and organize volunteers for events. This includes collaboration with other committees for events as well as communicating with Neighborhood Parents and volunteers.

COMMUNICATIONS COMMITTEE CHAIR

The Communications Committee Chair will oversee the website, create age PTO Newsletter, and provide the PTO submission for the school newsletter, and provide additional comms for events as needed.

PROGRAM CHAIRS

Ideally, each major event run at the school would have its own Chair.

These chairs work alongside VP Programs to plan and execute the event along side their team.

These events currently include: Winter Fayre, International Day, and Spring Fayre.

CONCESSIONS CHAIR

The Concessions Chair is responsible for overseeing concessions at Winter Fayre, Spring Fayre, Sports Days, and Theatre Productions.

They are responsible for stock purchasing, monitoring stock levels, and inputting and tracking of sales.

PARENT EVENT CHAIR

Organizes one event on campus such as Quiz Night, Bingo, or alternative as a parent social.

Organizes a few events off campus throughout the year for parents to socialize.

In the past has included Whiskey River, Top Golf and Houston Food Bank.

Delegates:

Each position has one or more delegates. The delegates are welcome to come to all the meetings but only one delegate per committee will have  voting rights when the Officer/ Committee Chair is absent. The delegate helps the Officer/ Committee Chair with tasks throughout the year!

Committee Members:

Committee Members help the Officer/ Committee Chair with tasks. For example:

  • The Treasurer has a team to help with payments, Amazon orders, etc.
  • The Programs VP has a Winter Fayre Chair, and under them, there is a whole team of people helping to organise the event!
  • Concessions has a team to help sell on the day of.
